EXECUTIVE MEETING
October 24, 2006

MINUTES

PRESENT: Don Wales, Patrick Gleason, Carol Lindner, Brian Davies, Mike Spencer, Bonnie Robertson, Terry Ferster, Claude Sam, Dale Ferguson, Jane Davies

ABSENT: Brian Davies, Dick Pawloff, John Duke


REPORTS:

Treasurer: Claude Sam

Claude and Don now have signing authority – Mike to complete forms at bank ASAP.
Meeting room mix-up for last meeting was investigated by Claude. He has requested a refund of _ room rental and security fee and is waiting for a response.
Treasurer’s report reviewed- general account now has - $176.69.

Social Directors: Brian Davies and Carol Lindner

Wolf Howl discussed – turn out for the past few years has been poor. Recommended this year to host a hot dog/marshmallow roast following Dec meeting at Mackenzie Trails with a guest appearance of “Wolf”. Brian and Carol will contact members who signed up to bring snacks for that meeting.
Brian suggested we highlight food preparation/drying techniques and trail snacks at one meeting this year.

Day Tours: John Duke

John was absent. Don reported that a day tour has been booked for Dec 10 – members will skike or ski depending on snow conditions.

Mountain Tours: Jane Davies

Jane reported that deposits have been placed on Huts and that our membership in the Alpine Club has been renewed.
No additional trips at this time.
Confirmed that Kilmory Lodge trip (Waterton) has room for 13 people.

Newsletter: Terry Ferester

Lengthy discussion re: newsletter costs and possible changes. Printing and mailing costs have increased dramatically. Approximately 30 people request a hard copy of the newsletter – the rest receive it on-line.
The following recommendations were made and accepted:
Terry to change the format (single space; omit long standing articles (Statement on Privacy; History of Club) to streamline newsletter. Claude will send Jane a list of the members needing printed copies. Jane agreed to make up mailing labels.
Consider setting a limit for the number of pages in each newsletter.
Terry to investigate other options for printing
Agreed to keep extra newsletters to a minimum. Consider hanging up posters to attract new members rather than newsletters.
Dick will be asked to remind membership that fees are now due in his next e-message.

Mike reported that a good number of members signed up for courses. Mike will arrange.
Mike to provide list of courses to Dick for website.

BUSINESS:

Guest Speakers for General Meetings:
The following speakers were agreed on:
November – Valhalla Pure Outfitters
December- Hot dog roast
January- Dried Food Extravaganza
February- Fryatt Hut slides – Mike
March- Comedy slide show – Pat
April- AGM
Memorial Bench Plaque for Bob Johnstone
Don reported that Grant Johnstone has arranged for a bench to be constructed and placed at Kiosk at Bower Ponds. He has approached groups that Bob was involved in re: purchasing a plaque for the bench (Alzheimer, Red Deer Runners, Bike Club, Trail Net and Parkland XC club). He understands the City will also purchase a plaque.

The executive agreed to purchase a plaque through club member donations. Don will ask Dick to announce in net e-message to bring a donation to the November meeting.
Pat recommended that any extra money raised be spent on a plaque for next years Loppet. Don will pursue re-naming upper trails with River Bend.

Jackrabbit Club trail party at River Bend.
Don reported that the Jackrabbit club wants to construct a terrain part on the backside of biathlon hill. They need to cut grass, take out young poplars etc. Members are invited to come and help on November 19th. This will be advertised in newsletter.

Snowmobile
We now have the Kinsmen logo and a logo for Bob on the snowmobile.
Chris from Kinsmen has been asked to send up remaining $500.00 cheque.
We will arrange to have a photo taken with snowmobile for newspaper once we have some snow.
Mark will look into insurance for snowmobile and report back to Executive.

Loppet
Steering committee consisting of Dick, Don and Pat was formed
Waxing Party: November 19th at 2 pm Wales residence

Website:
Present provider is still up and running. Dick has investigated American company in California.
Dick recommends we:
Continue to monitor situation with host in Calgary to get confirmation of continued and stable service.
If/when necessary we inquire into California service provider.

November Meeting
Valhalla will preview new merchandise and provide X-mas gift giving ideas. Members encouraged to bring a friend.

SAT phone
Jane reported that Steve has applied for funding from DOW for the SAT phone (may approve up to $500.00).

November 28 at 7:30 - Spencer’s old place
