EXECUTIVE MEETING
January 23, 2007
MINUTES

PRESENT: Don Wales, Mike Spencer, Bonnie Robertson, Dick Pawloff, Claude Sam, Dale Ferguson, Jane Davies, Brian Davies, Terry Ferster, John Duke

ABSENT: Patrick Gleason, Steve Davies

REPORTS:
Treasurer: Claude Sam
General fund has $4,174.64 – Mark M. has not yet cashed his cheque for track setting.
No funds received via city yet for lessons
We are doing well with the courses we are running.

Social Directors: Brian Davies and Carol Lindner
Carol will approach grocery stores for fresh fruit and Guy’s Water for water for Loppet. Don will get Gatorade. Olive does buns, chili and coffee for Loppet.

Publicity: Dale Ferguson
Dale reports Shaw Cable is happy to advertise club activities. Dale provided poster on Loppet to Valhalla.

Newsletter: Terry Ferster
Terry reports we are saving lots on printing newsletters now that we have a sponsor and less people are requiring hard copies.
Terry needs submissions ASAP – today is the deadline.
Terry finding it much easier to e-mail PDF files now to Dick using newly found software.

Day Tours/ Lessons: John
Brian and Carol will do a day tour in Innisfail on Family Day weekend.
John received information from City re: Guide and is researching better ways to advertise our club and courses. Facilitated registration may be one option. City staff also recommends moving out of Community Calendar section and into the body of the book under the skiing heading. John will pursue.
John saved the day re: ski lessons and registration through his city contacts. Way to go John!
Ski lessons have been very popular – over 20 participants. Advertising at the trail heads worked well.
John reported that Valhalla would be willing to put a flier re: ski lessons in with each pair of skies they sell.

Mountain Tours: Jane
Jane reports we have $3711.00 in the tour fund. Hostels have been booked and are paid for. Campbell Ice Fields trip is full as is Sask Toe trip.
Jane will request 22 spots in Rampart Hut
Eight people are going to Kilmory lodge this weekend. Discussion re: taking SAT phone and liability concerns. Kilmory lodge group will rent on from communications group.
Jane questioned whether we need a policy re: refunding of money when members cancel out of trip at last minute. Executive agreed to consider on a case by case basis.
Banking concerns are finally resolved.

Vice President: Mike Spencer
Second becan course went well. Nine people registered. Mike will post another sign up sheet to see if there is interest in running a third course.
Four people signed up for the Telemarking course run by Greg Nelson. Lots of positive comments for this instructor.

Webmaster: Dick Pawloff
Dick needs some help with registration for the Loppet.
Dick requesting pictures for web picture gallery. Please give info. Re: trip and names of individuals in the picture.

BUSINESS:

Sport Volunteer Nomination: Executive to e-mail Don with nomination ideas.
Work Party for Loppet: Thursday work party postponed due to warm/wet snow. Will try again prior to Loppet. Heritage ranch team (Mark and Steve) will re-set tracts for Loppet at Riverbend.
Kinsmen presentation: To occur soon in conjunction with trail setting and Loppet.
Trail Net membership: Executive agreed to maintain membership. Claude to send in membership fees.
City: Meeting was held with the city. Loppet fees were ironed out and discussions were held re: volunteers helping at Riverbend.
Club History Books: Dick encouraged Terry to print info. from the history books in the newsletter.
Loppet organization: Don reports everything is falling into place. Don and Dick having productive meetings. Short on volunteers for Registration – Jane mentioned that Physical Ed 30 students need to do volunteer hours and may be able to help out. Don looking for volunteers to help paint medals.

Past President role: Discussion re: duties/job description
Track setting: Don reported Steve is trying resign from track setting. Don to use his powers of persuasion.
